Thank you for your understanding and patienceThe Stock Take module in DATASCOPE WMS is extensively used and offers significant benefits over traditional stock counts when captured directly into SYSPRO. One of the key benefits of this module is that one can monitor the counting live and manage second and third counts on bins with variances as the count progresses.
Also, due to the software’s architecture, each pick will hold one or more TrackID counted during the stock count. Any variance can be tracked to a particular TrackID (e.g. Pallet).
The Stock Taking PC screen is the main review screen used during a stock take.
This screen is used for the physical counting of inventory.
Please start by selecting the warehouse (it must be the same one you have set in both SYSPRO and DATASCOPE WMS) you are counting.
Next, the user will scan (or type) the first Bin location in the Bin field.

Scan the TrackID within the Bin location. The software will then automatically load the first stock code that is theoretically living on the scanned TrackID
The Description will load
Next, the user must capture the actual quantities of stock within the TrackID. The user has three UOM (Units of Measure) types to choose from. The software will convert the entered quantity to Stocking UOM, before using the SYSPRO conversion factors

Note: There is a calculator icon next to the Quantity field to assist with counting. This calculator is particularly useful if there are cartons or boxes containing set quantities per carton or box PLUS loose items that are not in a carton or box and the user quickly wants to calculate the total quantity. |
Enter the quantity in the Quantity field
Select Post
A pop-up message will appear asking whether you want to continue counting other stock items on that same TrackID or if you want to move to the next TrackID
Select OK to move to the next TrackID
If you select Cancel, the screen retains the scanned Bin and TrackID and the cursor will rest on the Stock Code field, waiting for the next stock code to be scanned (or entered)
Let’s say the next stock code is Lot traceable. You will then have the option to enter the Lot Number in the Lot field and the Lot Expiry Date in the Expiry Date field. You have the option to leave the Expiry Date field unpopulated, but then you must select the No Expiry Date check box

Enter the Quantity again and select Post
If the TrackID has multiple Lots, the next Lot detail will load
If the TrackID has no additional lots then the same pop-up as before will appear. If you select OK, you must scan the next Bin to start counting those TrackIDs
The above process must be done sequentially throughout the entire warehouse.

Note: It is advised to mark the locations already counted with a Counted sticker or similar identification. This will assist the scanners in not counting a Bin, TrackID, or stock code again. Although, if you scan a location a second time, the software recognizes this and will present a prompt to the user asking if they want to recount the item. |
Once all stock has been counted the supervisor can refresh the pc-based Stock Taking data grid (located under Stock Take and Cycle Counting / Stock Taking / Stock Taking on the Main Menu) to see what stock must still be counted

What to do if there’s a difference between DATASCOPE WMS and the physical count
As previously mentioned, if a user scans a Bin number/TrackID and the stock code to be counted, the HTML 5 scanner-based screen will load the Description automatically.
If the item that appears on the screen is physically not visible on that TrackID, then you must enter a Zero in the Quantity field, to indicate to the software that there is nothing of that item available on the pallet.
If you select Post, the pop-up asking you whether you want to continue counting other stock items on that same TrackID or if you want to move to the next TrackID, will appear again.
Already counted items
If a user scans a Bin, TrackID, and stock code combination that has already been scanned, the software will advise the user that the item is already scanned, and that the new Quantity being entered will replace the previous quantity.
Once the entire warehouse has been counted, you can check the quantities and values against the SYSPRO quantities.

NoneIf you refresh the PC-based Stock Taking screen under Stock Take and Cycle Counting / Stock Taking / Stock Taking. You will notice that the scanned items will be populated on the right-hand side of the screen. Each scanned item on the right-hand side will be next to the original line on the left-hand side
If DATASCOPE WMS doesn’t find a match of a scanned item on the left-hand side it will create a new record on the right-hand side, but with no matched data on the left-hand side.
