KPI Dashboard & Reporting / Standard Reports / Balance Report [RPT003]

The integration between FASTTRACK DATASCOPE WMS and SYSPRO plays a vital role in your warehouse management process therefore it is critical to ensure that there are no variances between SYSPRO and FASTTRACK DATASCOPE WMS.

The Balance Report within FASTTRACK DATASCOPE WMS is used for exactly that purpose, therefore this is one of your most critical reports that must be reviewed daily. It shows you the exact SYSPRO quantities compared with the FASTTRACK DATASCOPE WMS quantities for each stock code. The Balance Report can be run for either a single warehouse or all your warehouses or for a single stock code or all stock codes.

The ideal is to have all quantities identical in both systems.

Note

It is important to note that updating TrackID statuses heavily impact the Balance Report.

Any TrackID that is INACTIVE will not appear as available stock on the DATASCOPE WMS side of the Balance Report, and ONHOLD TrackIDs can be excluded with filters.

Care should always be taken when updating a TrackID status, and it is strongly advisable that this task only be performed by a DATASCOPE Premium Administrator.

The Balance Report will show you all imbalances between SYSPRO and FASTTRACK DATASCOPE WMS. Some transactions in FASTTRACK DATASCOPE WMS, like inactivation of TrackIDs, can cause imbalances between the systems, and the Balance Report will point those variances out.

Let us run a Balance Report.

  • From the WMS Main Menu, you can browse to KPI Dashboard & Reporting / Standard Reports / Balance Reports option to open the window

  • Select a Warehouse from the Select a Warehouse drop-down

Note: You can run this report for a single warehouse or multiple warehouses or for a single stock code or multiple stock codes.

  • Select the Refresh icon

  • The data grid will populate with all imbalances between SYSPRO and FASTTRACK DATASCOPE WMS for the specific warehouse you have selected

  • You will notice the variance between the two systems in the Variance column

  • Notice that the SYSPRO information is visible on the left-hand side of the screen as indicated by the column headings and the FASTTRACK DATASCOPE WMS information on the right-hand side. The variance between the two systems is indicated in the Variance column

Let us go through the screen to see how we can interpret the data further:

  • Select the View Detail check box next to the Select a Warehouse drop-down

  • Select Refresh again to refresh the data grid

  • Small plus signs will appear on the left-hand side of the screen. You can click on it to open more detail. It shows further FASTTRACK DATASCOPE WMS detail to investigate

  • Notice in the example, Figure 5, that there are 20 Qty in one pallet and 1 Qty in another pallet. You can now investigate these two pallets to see why there is a variance of -1

  • The best way to fix imbalances shown in the Balance Report is to do a Cycle Count. For more information on Cycle Counting refer to Cycle Counting

  • You can view and adjust the quantities, once you have captured it using the HTML 5 scanner, under Stock Take and Cycle Counting / Cycle Counting / Cycle Count Approval

Note: The Cycle Count transaction updates both the SYSPRO and FASTTRACK DATASCOPE WMS quantities according to the new counted quantities.

  • Once the adjustments have been made you will no longer see the record and variance in the Balance Report

  • If there is a zero variance within the Variance column it means, there are no imbalances for that stock code

  • You have the option to export the report to either Excel or PDF by selecting the Export buttons

Note: You can also choose to show exceptions only, which is the default, or you can show all balances. All balances will include records with a zero variance.
