FUNCTIONALITY OVERVIEW

The general labeling application can be used for any form of bar code labeling that your would like to apply. Up to five different label formats can be configured. Some examples of labels of where companies use these labels are:

Label Format - These five label formats can be setup under SYSTEM SETTIONGS > Labeling > SAMPLELABEL_FORMAT1 to SAMPLELABEK_FORMAT 4

Product bar codes - for items that come from suppliers without a bar code
Carton labels - In most factories there is a need to label boxes of manufactured product&edsp;
Pricing labels - some companies need to apply customer pricing tickets to products

Warehouse - Select the warehouse code to filter only stock codes in the selected warehouse

Stock code - select the stock code to bring product details onto your labels

Lot - Select a valid lot number if you would like a lot number bar coded on your label
Pick face Location - this is automatically pulled from your pick face master. If a pick face has been setup in this warehouse it will show here and can be printed on your label

Pack Size - this is pulled from SYSPRO

UOM - this is the stock codes standard UOM (Unit of measure)

Alt UOM - this is the stock codes standard Alternate UOM from SYSPRO

Mass - this field is pulled from SYSPROs Inventory Master setup&edsp;

Customer Stock Code - These field can be entered by the user as a free format text

The bottom of the screen holds 12 user defined field. You can enter any detail into these field that you prefer. the fields can also be pre configured with a name in the system setup under SYSTEM SETTINGS > Labeling&edsp;

The fields called SAMPLE_NOTIFACTIONTEXT1 to SAMPLE_NOTIFICATIONTEXT12 can be set as you prefer.

STANDARD PROCESS

  • Select the desired label format using the drop-down list (this list is generated from the formats listed in the system settings > labeling> Sample label format Default and Sample Label format 1-4)

  • Select the warehouse from the drop-down list

  • Enter the stock code, or select it using the select function

  • The following standard fields will load from SYSPRO inventory master

  • Description

  • Long Description

  • UOM, Alt UOM

  • Mass

  • Pan size (pack size)

  • Custom form fields specified in the sample notation text using CFF_Field name (see special features for the explanation on how to set this up)

  • The following fields will load from DATASCOPE WMS tables

  • Pick face Location

  • Enter values for fields where data has not automatically pulled through

  • Click print

SPECIAL FEATURES

  • There are 12 fields available for the user to enter text or for data to be pulled through form a custom form field.

The descriptions displayed next to each of the text boxes can be setup under System settings> Labeling> SAMPLE_NOTATIONTEXT1 to SAMPLE_NOTATIONTEXT12.

If this field is set to a value prefixed with “CFF_”, DATASCOPE WMS will return the custom form filed with the specified field name to the screen for the stock code selected.

  • The printer can be defaulted to the warehouse selected in the top right hand corner, or a pop-up selection can appear as the user clicks print (see printer setup)

This flexible checkout module is suitable for many different types of business environments. It can be used in a Small Parcel environment for boxes shipped with FedEx, UPS, or similar courier companies, or it can be used in an LTL or Less than Truckload type of environment, where there may be one or more entire pallets that you require to ship.

This module would typically be used after the WMS pick slip has been picked, but before it has been Invoiced or Dispatch Noted in SYSPRO.

The standard process to follow to check out either a small parcel or an LTL shipment is as follows:

  • Start to confirm the pick slip status (the pick slip must have a status of PICKED)

  • Enter the pick slip or MSN number in the MSN/PickSlip field. You can also use the search icon to locate your pick slip

  • The software will validate if any stock codes have a Pan Size in SYSPRO that is not configured. A pop-up screen will appear, if there are stock codes with a Pan Size value of 0. If you do not want to use Pan Size values, you can click past these messages (For more information on configuring the Pan Size values, refer to SYSPRO Master and Custom Data fields)

  • The data grid displays all the stock codes and Qty to be packed on the pick slip. In the Qty to Pack, you will see the total Qty to be packed, and in the Qty Packed you will see Qty that has already been packed

  • To check out small parcels follow the below process:

    • Select the browse icon next to the Carton Size field and select a carton size

    • Select Standard Packs

    • Selecting the Print link on the Pack Size Boxing data grid will print the first range of labels. The number of labels that will print, depends on the total number of boxes

    • If you close the Pack Size Boxing screen, the MSN Grocery Pack screen will update, and the number of labels printed will show in the Completed Cartons list on the right-hand side of the screen

  • To check out LTL shipments follow the below process:

    • Notice in your data grid that the pick slip has fewer stock codes, but the Qty to Pack is much higher than the small parcel order we discussed in MSN Grocery Checkout Module (Small Parcels)

    • As the quantity per stock code is much higher you will send out multiple pallets with cartons of a single stock code on each. Therefore, we will not be using the Print Carton option, where multiple carton labels will be printed. Uncheck the Print Carton check box.

    • To checkout pallet loads for an LTL shipment you can select the Open Shipping TrackID button (Shipping TrackIDs are required when creating a Waybill/BOL document. For more information, refer to the Shipping Module)

    • A pop-up will appear, asking you whether you want to continue packing cartons onto the current pallet or if you want to create a second TrackID (pallet)

    • Select Yes, to create a second shipping TrackID (if you select No you will be adding more cartons to the existing pallet)

    • The shipping TrackID label will print to be attached to the next empty pallet

    • Select the Standard Packs button to start pack a second pallet

    • Once all pallets are packed a pop-up will appear asking you whether you want to Dispatch Note or Invoice the Sales Order in SYSPRO (you have the option to perform these transactions later). If you don’t want to Dispatch Note or Invoice the Sales Order. Select Close

    • The system will now ask whether you want to print a packing list. This will also be your indication that the Grocery packing list is now complete

  • To pack and label loose quantities

    • The remaining quantities to pack will be visible in the Qty to Pack column 

    • Ensure a carton size has been selected before packing the remaining smaller quantities

    • Scan or type the stock code into the Barcode field

    • Notice that the Qty to Pack figure will update with an increment of one. If the stock code line had just one Qty to Pack, you will get an Invalid Qty error when trying to scan or update the Barcode again for this specific stock code. Qty Packed cannot be greater than Qty to Pack

    • Type or scan your next Barcode into the Barcode field. The line for that stock code will also turn green and the Qty Packed column will be updated by one

    • As there is more than one item to be packed you can scan or type in the Barcode again to pack the second and third items

    • Once the box is full you can click on the Complete Carton button at the bottom-right of the screen

    • By default, with the WMS installation, a pop-up window will appear with a weight option. You can type in the scaled mass of the current box. You will then see the estimated mass versus the actual mass

  • Next, you will have to Post your transaction. Posting a transaction is the same for both Small parcels and LTL shipments

  • To post the transaction.

    • Select Post

    • The carton labels will print, and the Completed Carton list will update

    • The data grid will refresh and will display the remaining stock code to be packed

    • Follow the same process as above to pack the remaining stock code

    • Once all the stock codes are packed the data grid will be empty

    • A pop-up will appear asking you whether you want to Dispatch Note or Invoice the Sales Order in SYSPRO 

    • If you don’t want to Dispatch Note or Invoice the Sales Order, select Close

    • If you do want to Dispatch Note or Invoice, select one of the buttons

    • By selecting Invoice, SYSPRO will be updated, and a pop-up will appear, displaying the Invoice Number and the Result status of Invoiced

    • Close the pop-up and close the Invoice Dialog pop-up

    • The system will now ask whether you want to print a packing list. This will also be your indication that the Grocery packing list is now complete

    • The Packing List contains a summary of the entire MSN, including the quantities of each carton

TECHNICAL

Please refer to the Settings Help Menu for a list of receiving settings and what they do. There are a large number of Check out settings.

  • When printing to a physical printer you must ensure that the System Settings is configured correctly and that the physical printer setting is printing to Letter size. The MSN_GROCERY_CHECKOUT setting under Settings / Printers on the Ribbon Bar must point to the physical printer. For more information refer to Configure Printers
