The On-Hold Reason Codes supply a reason why pallets must be put on hold. The software is shipped with three generic reason groups: CUSTOMER SERVICE, INVENTORY CONTROL, and QUALITY ASSURANCE. We have found that most reasons for quality issues fall into one of these three groups; however, you can add more reason codes per reason group if required.

 Let us review how to create additional reason groups and codes.

  • From the Main Menu, browse to Warehouse Setup / Inventory On-Hold Maintenance / On-Hold Reason Maintenance

  • By default, three On Hold Groups will be available.

o   CUSTOMER SERVICE – This reason group will typically be used when a new store opens for your company and the store requires 100 pallets of a specific product. There might not be sufficient pallets available for the stock code. Therefore, the Customer Service Manager will put the pallets that are available On Hold until enough pallets are available to send to the new store. In this example, you can enter New Store Opening under the CUSTOMER SERVICE group and use it as the reason to place the pallets On Hold (essentially locking them from others being picked for other pick slips.)

o   INVENTORY CONTROL—This reason group can be used when the Inventory Controller puts pallets with water or carton damage on hold. Typically, you would want to isolate the damaged pallets until the issue is resolved. Two different reasons can be created under the INVENTORY CONTROL group—one for Water Damage and one for Carton Damage—and can be used for placing certain TrackIDs On Hold.

o   QUALITY ASSURANCE—This group is used when some pallets become contaminated by an allergen product. The QC Team is required to test the pallets before allowing them back into the warehouse. Under this reason group, a reason code called the Allergen test could be created.

  • To add a Reason Code, select one of the default On Hold Groups from the drop-down and add an appropriate On Hold Reason.

  • Select Apply to save.
