The TrackID Creation screen is used for the initial take on of inventory into the WMS during the project go-live stage. This module should very seldom be used once the software is running.
However, if some transactions occur in SYSPRO only, you can use this module to generate the matched stock labels for WMS.
This screen can generate a pallet label by typing in or selecting the Bin, Stock code, Lot Number, and Expiry date (if applicable) from the lookup menu.
The following fields must be used:
Label Format: By default, only two label formats are available (DATASCOPE_TRACKID_4x2.5 and DATASCOPE_TRACKID_MULTISKU_4x6). These default labels can be edited or added to as required. All WMS labels are in a Crystal Report format, so you can make any required customized changes.
TrackID Type: Select the TrackID Type. Most TrackIDs will be set to Normal. These are typical TrackIDs for the stock in your warehouse. Pick face TrackIDs are used to allocate a TrackID that will never become inactive. These are typically given an ID number equal to the pick face bin location. One only needs to use this if normal bulk location bins are being changed into pick face locations. Picking type TrackIDs are used during the picking process. These pallets are automatically created when a picking slip is assigned to a picker. However, in the case of a system failure, you can use this function to create the TrackID.
Set TrackID to Bin: this will force the TrackID you are creating to have the same code as the bin location you enter. This is useful when creating Pick face labels as you will want then to match. This is also used if you want to give a typical bulk bin location a TrackID that is equal to the bin so that you can scan product directly into the bin (where the bin is effectively a shelf)
TrackID: this can be selected if you want to enter your own track ID number
Bin: Enter the bin that this TrackID will reside in to start with (or use the lookup icon to search for a Bin) - it can be moved on from this bin later.
Stock Code: the Stock Code through to Quantity fields can be entered and added to the grid multiple times if the TrackID has more than one stock code on it
LotNumber: Enter the Lot number or use the lookup icon to search for a Lot number, if applicable
Lot Expiry Date: Enter the Lot number Expiry date (if applicable). If no Expiry date exists, then you can select the No Expiry Date checkbox
Quantity: refer to the quantity per stock code
Supplier reference: is a free text field which can be used for the purchase order number or any such data.
User Defined: this is a free text field for customer information that can be saved/printed on the label. (Note: A permission setting must be activated to use this)
No of copies: this field needs to be managed with care! Often a company want each pallet to have two identical labels so that one can be placed on the front and one on the back of the pallet. However if these labels end up on different pallets the software will assume they are both the same pallet as they have the same reference number.
No of New Tracking IDs: this is useful when tacking on stock for the first time in preparation for a go live. often you will have a large number of pallets all with the same stock code on them . You can setup a single label with this correct stock code and set the quantity to zero. then change this field to create many of the same labels each with a different Track ID reference number. During the stock take the quantity will be counted and the quantity updated automatically.
Comments: this is a free text field that can be used to add a comment.
Note: Directly after a go live the warehouse setting to block the entry of a quantity must be set on This will allow a user to generate new labels, but only where the quantities are zero, creating labels with a positive quantity in a live environment will create new inventory in DATASCOPE WMS and this will then show on your Balance Report as on out of sync situation with SYSPRO.
Select the Add button to save the first stock code
If the pallet has multiple stock codes on it, you can continue to add additional stock codes to the list
Note: To add multiple stock codes to the same TrackID, we need to update a Warehouse setting for that specific Warehouse. On the Ribbon Bar go to Settings / Warehouse Settings and select the applicable Warehouse.
Select the Refresh icon to load the data grid
Search, or use the Filter icon, for GENERAL in the SystemName column
Search, or use the Filter icon, for MULTIPLE_STOCK_ITEMS_ALLOWED in the SystemValue column
This must be set to Y. If this remains N, and you try to add multiple stock codes to one TrackID then you get a pop-up stating The warehouse setting MULTIPLE_STOCK_ITEMS_ALLOWED is set to N, only 1 stock code is allowed on a TrackID
Select Print.
Notice that if multiple stock codes were added to the same label, only one unique numbered TrackID label will print out for all the stock codes.
By updating the No of Copies field, you can print duplicate labels to stick onto different places on the pallet
You also have the option to create several labels for the same stock code information, but different unique TrackIDs. This is usually used when you have a few separate pallets with the same stock code on them. This can be done in one action by selecting the No of New TrackIDs value before printing

To add multiple stock codes to the same TrackID, we need to update a Warehouse setting for that specific Warehouse. On the Ribbon Bar go to Settings / Warehouse Settings and select the applicable Warehouse.

This will allow a user to generate new labels, but only where the quantities are zero, creating labels with a positive quantity in a live environment will create new inventory in DATASCOPE WMS and this will then show on your Balance Report as on out of sync situation with SYSPRO.
This setting is available under System Settings on the Ribbon Bar. Locate the STOCK_TAKE_ON System Name and update the SettingValue for the FORCE_ZERO_QUANTITY SettingName to Y
In order to view or use the User Defined field, to add additional customer information, a System Setting must be updated. On the Ribbon bar, browse to Settings / System Settings and locate the STOCK_TAKE_ON System Name. Update the Setting Name USER_DEFINED_FIELD1 to Y(es).
