A Dispatch Note can typically be created during the Shipping process or when doing a small parcel MSN checkout.In SYSPRO, inventory is reduced when stock is on a dispatch note/when an order is dispatched, but the financial side still needs to be processed. The dispatch note can, therefore, be canceled, or line quantities can be reduced. This action in SYSPRO places the stock back into the bin it was shipped from.

This screen is then used for the following scenarios:

  • A truck returns or an order is canceled. The stock that was picked needs to be put back into the shelves.

  • An item or a specific quantity needs to be removed from a load. Here, the truck returns because it is overweight, and one pallet or more must be taken off, but only part of the load. We need to ship the rest of the load.

To cancel and/or schedule a reship of the Dispatch Note.

  • Note that this screen has two Tabs:

    • Cancel Dispatch - this option is used to cancel/unship the lines on a Dispatch Note.

    • Reship - this option is used to dispatch and reship the remaining lines from a canceled Dispatch Note.

  • To Cancel the Dispatch Note, ensure you stand on the Cancel Dispatch Tab.

    • Enter or scan the Dispatch Note number in the Dispatch Note field, or use the Lookup icon to locate a Dispatch Note.

    • The Sales Order, MSN, Pick Slip, and Waybill details will appear automatically.

    • Select the Cancel Dispatch Note button.

    • The Dispatch Note will be canceled in SYSPRO, and have status of CANCELEDCANCELLED.

  • To schedule a Reship ensure you stand on the Reship Tab.

    • Enter or scan the Dispatch Note number in the Dispatch Note field, or use the Lookup icon to locate a Dispatch Note.

    • Only Dispatch Notes in a CANCELLED status can be reshipped. The status is confirmed against SYSPRO and will display a * if in a CANCELLED state.

    • The data grid with the Sales Order, MSN , Pick Slip and Waybill number will automatically load.

    • If there are more than one Sales Order linked to the Dispatch Note you have the option to select the one you want to Reship. Select the tick box in the Selected column.

    • Select SYSPRO Reserve Picked Lines. When selecting this button the system confirms if any lines are Kit items. If any are detected a pop-up message will display, stating 'Kit items will not be reserved as there is no SYSPRO Business Object to do this. Please reserve in SYSPRO itself, or ship the lines.

    • Next, the user must select the Ship Picked Lines. The Pick Slip status will change to SHIPPING.

    • The shipping pallets must now first be loaded. For more information, refer to Shipping Truck Load [LPN052]

    • The Shipping TrackID status will change back to INPACKING or LOADED.

    • Once the shipping TrackIDs has been loaded, the user can select the Dispatch button. The Dispatch number will be updated against the Pick slip and the status will be updated to D/NOTE (no waybill), COMPLETE (waybill)

  • The SYSPRO Reserve Picked Lines button must be enabled by updating a System Setting. From the Ribbon Bar, browse to Settings / System Settings and locate the system name DISPATCH. update the setting value for RESERVE_OFF_SYSPRO6.1_SO_RESERVE_FIELD to Y(es)
