SYSPRO

We will cover creating a Sales Order in both Back Order and Release.

Note: include marking an item as a non-stock itemBack Order – When creating a backorder item, the item is an out-of-stock product expected to be delivered by a certain date once back in stock.

Release – When creating a release item, the item is in stock and ready to be picked and shipped.

In summary, the main difference between a Sales Order Back Order and a Sales Order Release is that the former represents an order placed by a customer that cannot be fulfilled immediately due to stock unavailability. At the same time, the latter refers to releasing the back-ordered items for fulfillment and processing once they become available.

Sales Order – Sales Orders record the sale or transfer of goods and services to internal and external customers. This document initiates the sale of goods or services to a customer.

Purchase Order – A buyer generates a purchase Order to request goods or services from a supplier or vendor. A Purchase Order is used to initiate and manage the procurement process. It communicates the buyer’s requirements to the supplier to pick and deliver his request.

  • Open SYSPRO

  • From the SYSPRO Programs list, browse to Sales Orders / Sales Order Processing / Sales Order Entry

  • A pop-up will might appear asking you whether you want to place a quantity on reserve (Release Sales Order) or place a quantity to ship (Back Order Sales Order). If your SYSPRO company is not setup for Reserve, then the pop-up will appear asking you whether you want to place a quantity on reserve (Release Sales Order) or place a quantity to ship (Backorder Sales Order)

  • . Select Place quantity on reserve. If the SYSPRO company is setup for Reserve, then you will not see this pop-up.

This pop-up does not always appear, as it is dependent on user settings within SYSPRO. If this pop-up does not appear and you want to create an on reserve order ensure to update the Reserved quantity with the same Qty as the Order Quantity when creating new line.

  • These options are dependent on a WMS setting. If the setting isn’t set correctly in WMS and you select Place quantity on reserve, you cannot reserve that quantity.

Note: Ensure the setting under WMS is correct to reserve your quantity. Open DATASCOPE WMS and select Settings / System Settings on the Ribbon Bar. Locate the DISPATCH setting from the System Name drop-down menu. Search for the setting RESERVE_OFF_SYSPRO6.1_SO_RESERVE_FIELD. If this setting is set to Y(es), then you can reserve stock, if this setting is set to N(o), then you will place it in Back Order.

  • Next you can release this Sales Order to a Pick Slip in order for the pickers to start picking the required stock codes - Sales Order Release (Single)

Place quantity on reserve

  • The Sales Order Entry screen will open.

  • Start by selecting your Customer from the Customer drop-down menu.

  • Next, you can add the Customer’s Purchase Order, as visible on the Customer’s Purchase Order.

  • Next, you must add a stock code to the new Sales Order you are busy creating.

  • Select Add Lines and select or add the stock code you want to add.

  • Update the Order Quantity for the Sales Order

  • Notice that the Reserve quantity will also populate with the order quantity as you have selected Place Quantity on reserve when opening the Sales Order Entry screen.

  • If you didn’t get the initial pop-up, then you must update the Reserve quantity field as well.

  • To add a non-stock item to a Purchase order:

    • Select the Non-stocked tab (next to the Stocked tab).

    • All required fields will load.

    • Add any detail for the Non-stocked code and Description.

    • Enter the Qty.

    • Select the Product Class

    • Enter the price

Notice that stock codes on the Purchase Order that that are listed as non stock codes have a Warehouse of **

  • Select Save

  • A pop-up will appear, asking you to add the Line. Select OK.

  • You might have to select End Order a second time.

  • SYSPRO will then provide you with a Sales Order Number.
