Pick Slip Review

This screen gives the user a great overview of all picking slips in various statuses. The data is shown in a grid that can be sorted, filtered, and pivoted. The screen is used extensively in the warehouse to monitor the picking progress of pick slips (both Purchase Order and Job Pick Slips)

  • The screen is a detailed review screen of all DATASCOPE WMS sales orders and job pick slips that have been created

  • Notice that there are several filters at the top of the screen, which can be used to filter the information which is displayed when the blue Refresh icon is selected

  • If you select the Refresh icon, the data grid will populate with all the data that is available

Filter options

  • In the top-left corner, you will find the Type of sales order. The screen will always default to the Dispatch option, but you can change this depending on the filter you want to use

  • The From Source Number and To Source Number refers to a SYSPRO Sales order or Job number range. It will depend on the Type you have selected above it

    • If you select Dispatch under Type, then the Source Number range must be valid SYSPRO Sales order numbers – these fields automatically pad with leading zeros depending on your SYSPRO sales order number padding setting – therefore you must only type in the unpadded number

    • Select the Refresh button to refresh the screen. The screen will then only filter out the sales orders for those values as per your filter

  • The From MSN and To MSN master shipment numbers will filter the data grid on the MasterShipmentNumbers column. The MSN number is used for various shipping transactions, for example, the MSN Grocery Pack transaction, one of the many different Check-Out options Check-Out options that are available in DATASCOPE WMS. For more information, refer to the MSN Grocery Checkout.

  • The result set after you entered the MSN master shipment numbers and select Refresh, can also be split per Warehouse or All Warehouses

  • The From Pick Slip and To Pick Slip filters the results set by the pick slip range entered

  • The From Customer and To Customer refer to the SYSPRO Customer Codes. You will filter the results set for a particular customer or range of customer’s pick slips

  • The From Short Name and To Short Name refer to the SYSPRO Customer short name that is visible under the Customer Query screen in SYSPRO

  • The From End Date and To End Date refer to the end date of the FASTTRACK WMS pick slip. When a pick slip is completed, an End Date is stored, and this can be used as a filter option

  • The From Operator and To Operator filters can be used to filter out only a particular operator or range of operator pick slips

  • On the right-hand side of the screen, you will find 12 pick slip status check boxes that you can use on the result set already filtered

  • Once you have selected all your required filters you can select the Refresh button to populate the data grid and you can review it

Review the filtered data

  • The data grid contains a lot of information for every DATASCOPE WMS pick slip, for example – the current pick slip owner, the status of the pick slip, started and end date and time, Pick Duration, SYSPRO invoice number (if already invoiced), customer information, route code, order type, etc.

  • Columns can be hidden by clicking the Column Chooser icon and checking or unchecking the required columns. This is rather handy as such a large number of columns are displayed on the screen. As you uncheck a column it will disappear from the data grid

  • Right-clicking on a pick slip opens a context-sensitive menu with the following options:

    • Copy (to copy the field you have highlighted onto your clipboard)

    • Print Pick Slip

    • Cancel Pick Slip (which can only be used if the pick has not already been started)

    • Change Picker (to change the current Picker or owner of the pick slip)

    • Assign Picker (to assign a new Picker or owner of the pick slip)

  • There are also various Views you can select from for additional information – these are:

    • View Status History – this will display a chronological history of the pick slip status changes as it moved through the picking process in the warehouse

    • The statuses a pick slip typically follows are: (these also refer to the filter options at the top of the screen)

      • Created – when the picking record was first initiated in the system

      • Printed – when the pick slip physically prints out

      • Assigned – when the first owner of the pick slip assigns his name to the pick slip

      • Started – when the first stock code has been picked

      • Picked – when the last stock code has been picked and the pick has been confirmed on the scanner

      • Checked – when the pick has a successful checkout process, and the checkout is confirmed

      • D/Note or Invoiced – when the pick has been successfully Dispatched Noted or Invoiced in SYSPRO and SYSPRO has returned a document number to DATASCOPE WMS

      • Complete – this is the final stage of a pick slip when no further transactions are expected for it

  • View Reservations – this will display the reservations (bin, TrackID, stock code, lot, and qty) that have been reserved for picking for the selected pick slip, as well as the picked and checked qty when the pick moves through the warehouse

  • View Pick Slip Details – this shows a summarized list of stock codes and Qty’s that have been printed on the pick slip. This is not broken down per pallet but per stock code

  • View Track ID – this is an Information Check redirect screen on which you can see the picking TrackID that has been created and used through the picking cycle

  • View SYSPRO Status – this display the current SYSPRO status of the Sales Order. For more information on the status codes refer to SYSPRO help manuals

  • View Totes – this view option is not included in the FASTTRACK WMS installation, but only in the DATASCOPE PREMIUM installation

  • View TMS Details - this view option is not included in the FASTTRACK WMS installation, but only in the DATASCOPE PREMIUM premium installation

SPECIAL FEATURES

  • By default, every DATASCOPE WMS pick slip will have a linked MSN number created automatically in the background.

  • The pick slip number is DATASCOPE-generated and is not padded with Zeros.

  • The data grid refreshes every 8 min by default – therefore, any pick slip that takes longer than 8 min will be highlighted in red, and the supervisor is immediately made aware of the fact that the picking slip needs to be expedited.

  • Each pick slip status is time-stamped with an owner of each stage, making operator performance easily trackable via the DATASCOPE WMS KPI tool.

  • For all DATASCOPE WMS installations, the picking TrackID number is the pick slip number, plus the warehouse code.

TECHNICAL

  • The time-limit setting to indicate after how many hours a pick slip must turn red if it has not been completed within that time frame is PICKING_SLIP_MAX_TIME. On the Ribbon bar, go to Settings / System Settings. Locate the PICKING_SLIP_MAX_TIME under <what>and update the hours.

  • To filter out all Cancelled pick slips from the data grid the CANCEL_SELECTION_DEFAULT setting can be switched on. On the Ribbon bar, go to Settings / System Settings. Locate the CANCEL_SELECTION_DEFAULT under <what>and update the hours.

SYSPRO REQUIREMENTS & Business objects used

  • None

STANDARD PROCESS

  • Any of the filters can be used to reduce the data returned, but the simplest process is to run the report using the ‘From Printed Date’ and ‘To Printed Date’ ranges.

  • Once dates have been selected, the refresh button should be clicked to return the data.

SPECIAL FEATURES

  • The user is able to filter on picking slip type (left hand corner) – either showing ALL picking slips, picking slips for jobs only, or picking slips for sales orders only (dispatch)

  • A time-limit setting has been included in the setup options of the WMS which allows us to set a maximum time limit against each pick - should a picking slip be released, but not completed with this time-limit the picking slip turns red and the warehouse supervisor is immediately made aware of the fact that picking slip needs to expedited.

  • Various other important aspects can be reviewed from this screen. For example: the warehouse supervisor can look only at all printed but not yet started picking slips - that would show him which picking slips have been printed but no picker has started picking them. He can see started picking slips, which will show picking slips that are in process and he can the review times against these picking slips. This allows him to ensure that a picking slip has not been allocated to a picker who is not actually processing the pick.

  • This screen can also be used by key sales persons to review customer’s orders. By filtering on a customer the screen will display all active picking slips that are currently in process for this specific customer, which assists the sales person in giving an update to the customer on the progress of various picking slips. This is particularly useful in a situation where customers collect their goods from a company and would like to review that the bulk of their goods have already been picked and are awaiting collection.

  • Various efficiency investigations can be identified from the screen, where each picking slip can be reviewed to check the detailed dates and times of each status through the process. For instance, a completed picking slip can be reviewed to investigate what time the picking slip was released, what time picking started, what time picking ended, what time the picking slip was checked, invoiced and finally delivered.

  • The picking slips displayed can be filtered in different ways (eg. By warehouse, by status, by customer, by sales orders, whether they are picking slips for jobs or sales orders, etc.)&edsp;

  • By right clicking on a selected line, a pop menu will appear with various options.

  1. Print: will print/reprint the picking slip to the configured printer

  2. Cancel Picking Slip: This allows you to cancel a pickslip, you will be prompted to confirm and will be prevented from cancelling a picking slip that has already been started (anything picked onto the picking pallet)

  3. Change Picker: Where a pickslip is in “Assigned” or “Started” status the assigned picker can be managed. You simply select a picker from the Operator Lookup window which appears.

4.&edsp;&edsp;Assign Picker: This is the same procedure as changing a picker but you can only assign a picker where the pickslip is in the status of “Printed”
5.&edsp;&edsp;View Status History: This will open a window showing all the previous statuses of the Picking Slip, the operator who performed the transaction and the date & time this occurred.

  1. View Reservations: This shows what was reserved

  2. View PickSlip Details: this shows what the Pickslip Required (what the paper print out would summarize split by WH – i.e. If a line is reserved over 2 pallets, the summary for the total qty prints on the picking slip)

  3. View Tracking ID: this shows what was taken off the racks when picking occurred (the contents of the picking pallet)

  • Relevant Settings

&edsp;- PICKING SLIP MAX TIME - this time in hours is the setting that will turn a picking slip red if it has not been completed within the set number of hours
