To start using the TMS module, you must have active Sales Orders within SYSPRO.

Try it!

  • Open SYSPRO

  • From the SYSPRO Programs list, browse to Sales Orders / Sales Order Processing / Sales Order Entry

  • If your SYSPRO company is not setup for Reserve, then a pop-up will appear asking you whether you want to place a quantity on reserve (Release Sales Order) or place a quantity to ship (Backorder Sales Order). Select Place quantity on reserve. If the SYSPRO company is setup for Reserve, then you will not see this pop-up.

Note: Sales orders that are in Backorder will not go through the initial rate shop process in the TMS Order Query screen. Only In Reserve Orders are Rate Shopped initially.

Note: This pop-up does not always appear, as it is dependent on user settings within SYSPRO. If this pop-up does not appear and you want to create an On Reserve order ensure to update the Reserved quantity with the same Qty as the Order Quantity when creating new line.

  • The Sales Order Entry screen will open.

  • Start by selecting your Customer from the Customer drop-down menu.

  • Next, you can add the Customer’s Purchase Order, as visible on the Customer’s Purchase Order.

  • The following fields are important when using the TMS module.

o   Ship Via code field must be updated with a code. For the TMS Module either BWP (Best Way Parcel) or BWT (Best Way Truck) works best. This is used by most customers to determine which Carrier they will be using. It is a predefined way how they will ship the order, and if this field is not updated within SYSPRO, then the TMS module will fail. Users are also able to enter a specific carrier code in here.

Note: The Ship Via codes are typically configured in your external 3rd party TMS System and then import into SYSPRO.

Note: If the Ship Via code field is left blank, you will get an error message within the TMS Order Query screen. Refer to the Last Message field within the TMS Order Query data grid.

o   A complete, valid Ship to address must also be captured. The Address Validation step within the TMS module will fail if this information is not correct.

  • Next, you must add a stock code to the new Sales Order you are busy creating.

  • Select Add Lines and select or add the stock code you want to add.

  • Update the Order Quantity for the Sales Order

  • Select Save

  • A pop-up will appear, asking you to add the Line. Select OK.

  • Select End Order

  • You might have to select End Order a second time.

  • SYSPRO will then provide you with a Sales Order Number.

Note: Remember this number, as you will need this when moving over to WMS.

  • The next step is to release that Sales Order to a Pick Slip, but as the TMS module is now activated, some validation steps must first happen.

Note: As soon as the TMS module is activated you might experience certain blocks on some associated module. For example, if you try to release a pick slip (under Order Release / Sales Order Release) of an order whose address wasn’t validated successfully (it will have an Address Validation of ERROR – Invalid Address), you will get an error message. You cannot release the pick slip until the Address validation issue has been resolved.
