In this module, we will explain how to truckload the finalized Shipping TrackIDs into the delivery vehicle when the shipping agent arrives, or your truck is ready to depart your warehouse.

This process is done on the HTML5 scanner only.

The following can be checked to ensure the Waybill is ready for truck loading:

·        Pick slips have a status of PICKED/COMPLETED

·        Shipping TrackID has a status of ASSOCIATED/LOADED

·        Packing List is printed

·        Final Shipping TrackIDs are printed and added to pallets

In some instances, you might need to unload a Shipping TrackID after it has been loaded on a truck, not to be dispatched with the Waybill. The Shipping Truck Unload scanner feature will be used for this process.

This transaction will be done on the HTML5 scanner.

  • Locate the Shipping Truck Loading icon on the scanner

  • You can also access the HTML5-based scanner screens form the PC

  • To open the HTML 5 scanner screen from the PC, go to the Main Menu at the top of your screen and select Launch HTML5. This will open the HTML 5 sub-menu.

  • Click on the Launch HTML 5 icon.

  • Your HTML 5 scanner screen will load.

  • You will notice that all the modules will be visible. Use the search icon to easily search for a module or browse through the screens to locate it.

  • The Shipping Truck Load screen will open

  • Enter the Vehicle number from the Waybill. This refers to the Trucks created during the Waybill buildup. The appropriate truck was added when the Waybill was created. For more information, refer to Creating a Waybill

Note: Entering the Vehicle is configurable and can be disabled by updating the VALIDATE_WAYBILL_VEHICLE setting under System Settings / Shipping. During truck loading, the setting validates whether the selected vehicle matches the vehicle selected against the Waybill. When the answer is Y(es), the system will verify that the entered vehicle matches the vehicle selected on the Waybill. On the other hand, if the answer is N(o), the system will skip the check for vehicle consistency with the Waybill, and you can add any vehicle name.

  • A Trip Sheet number will appear automatically. The Trip Sheet is similar to the Packing List already printed

  • Scan (or enter) the Waybill/BOL number you are loading onto the truck

  • The Shipping TrackIDs associated with the Waybill number will load in the data grid (notice that the Status must be ASSOCIATED or PACKED)

  • Each Shipping TrackID must be scanned in order to start loading it into the truck

  • Scan (or enter) the Shipping TrackID into the TrackID field

Note: The Shipping Lane (called the Shipping TrackID Bin) each Shipping TrackID has been scanned into is also visible in the data grid. This will assist the dispatching staff in locating the correct pallet.

  • As each Shipping TrackID is scanned the status will be updated to LOADED and will change to green in the data grid. This is to see which pallets have already been loaded easily.

Note: The Shipping TrackID Status column will also update in the Waybill/BOL Maintenance screen. Select the Refresh button to update.

Note: You can exit and re-enter this screen multiple times. The work that has been performed will be saved, until all Shipping TrackID has been scanned and loaded.

  • Continue scanning all Shipping TrackIDs until everything is physically loaded into the truck.

Note: If you go back to the Waybill/BOL Maintenance screen, under Shipping on the PC, and select the Refresh button, the data grid will update according to the Shipping TrackIDs already loaded into the truck. The Shipping TrackID Status column will update to LOADED. If all Shipping TrackIDs don’t have a LOADED status, you cannot Dispatch. This is because we selected the Fixed Load option.

Note: If a Shipping TrackID is in another status than ASSOCIATED OR PACKED, you cannot truckload it until it has been moved to the correct status. Either add some dimensions and mass or check whether it has been palletized correctly.

  • A pop-up will appear, stating that the loading is complete

  • Select OK

  • A pop-up will appear asking whether you want to Dispatch. You can do it from here but note that this is permission-based per user. You can therefore select Cancel and do the Dispatching from the PC screen (browse to Shipping / Waybill/BOL Maintenance on the main menu)

  • A pop-up will appear asking whether Truck loading is completed for the Waybill. If OK is selected. Truck loading is complete for that Waybill and all Shipping TrackIDs will have a status of LOADED. If you have more than one Waybill loaded on the same truck. You can select Cancel and proceed with the second Waybill.

  • A pop-up will appear asking whether you want to print a Trip Sheet. Select Cancel

Note: You don’t need to print out the Trip Sheet, as a Packing List has already been printed at the end of the Check Out process. For more information, refer to Checkout Process

  • If Cancel is selected, you can continue loading more Waybills.

  • When the pallets are all truck loaded and ready to be dispatched, you can create a SYSPRO Dispatch Note for the load

Note: At this point, you cannot unlink a Shipping TrackID from the Waybill. You will have to unpack it first. For more information, refer to Shipping Truck Unload

Create a SYSPRO Dispatch Note

  • Open the Waybill/BOL Maintenance screen under Shipping on the Main Menu

  • All the Shipping TrackIDs must now have a Status of LOADED

  • Select the Dispatch Note button

Note: By default, this button is disabled. To enable this, some User Permissions to allow the creation of a Dispatch Note from both the scanner (at the end of the Shipping Truck Load process) or from the PC (on the Waybill/BOL Maintenance screen), must be updated.

On the Ribbon bar go to Settings / Permissions / Group Permission. Select the required group and locate the MAY_DISPATCH_SHIPPING_WAYBILL permission. Check the check box to switch this on.

Note: The Waybill/BOL Maintenance screen will have to be closed and reopened to apply the permission change. Search for your Waybill number again to continue.

  • A pop-up will appear. Select Yes

  • The Waybill/BOL Successfully Dispatched pop-up will indicate that the Dispatch Note was created successfully. Select OK

  • Refresh the Pick Slips tab. The Dispatch Note column will be updated with the SYSPRO Dispatch Note number.

  • Notice that the Picking Slip Status will also state COMPLETE

  • Lastly, you will print out the Bill of Lading document.

  • Select the Print Summary Waybill/BOL button, next to the Dispatch button

  • The printer pop-up will appear

  • A detailed Bill of Lading document will print
