Work in Progress / WIP Receipt / Receipt Jobs - Receipt Job [WIP080]

Job Receipts occur after the manufacturing process is completed and the finished product(s) is ready to be received into inventory to be sold. This screen is used to process processes the job
receipts of manufactured products back into inventory.

Job Receipts can typically be done on the pc and scanner screens. However, you would typically use the PC-based process if you want to manually kit issue components or if you want to receive the finished product onto more than one TrackID.

Review your Job in SYSPRO

First, confirm whether the Job is ready to be taken into Inventory.

Review the Job in SYSPRO

If the Quantity Issued column within SYSPRO is 0, then the inventory has not been issued and cannot be received into DATASCOPE WMS.

Job Receipt in DATASCOPE WMS

  • Open DATASCOPE WMS

  • On the Main Menu browse to Work In Progress / WIP Receipt / Receipt Job

  • Type the Job Number in the Job Number field or use the lookup icon to search for the Job Number

Note: A warning message may appear informing you that not all components have been allocated to the Job. This means that there are still outstanding materials to be assigned to the job. We’ve seen that there are still Kit Issued components that have not been issued when we did the SYSPRO Job Query

  • In the next step, we will now issue the components into Inventory

  • Select Yes on the Warning screen

  • The Job detail will populate on the screen

  • Notice that at the top of the screen, you will see the following:

  • The Warehouse and the default receiving Bin for that warehouse will also display. These have been created automatically with the default DATASCOPE WMS installation

  • Update the Quantity field with the number of items you want to receipt

  • The parent stock code and description are visible under the Quantity field

  • Notice that if the parent stock code is lot traceable, then the Lot Number will automatically default to the Job Number

Note: This is a default DATASCOPE WMS setting, which sets the Lot number to equal the Job Number. The user can however edit this number.

  • The Lot Expiry Date will calculate based on the SYSPRO shelf life of the product

Note: If the components are not lot traceable then these fields (Lot Number and Lot Expiry Date) will be blank.

  • You are also able to edit the default Reference field, but this is not necessary

Note: The DATASCOPE PREMIUM WMS software allows you to generate Sample Labels, however, this functionality is not available in the FASTTRACK WMS.

  • The Print Track ID Label field is by default ticked and you can change the number of Labels required. However, if you do not require a TrackID Label, then you must untick this box

  • The Cost Basics field is set to C - Current Warehouse Cost for all DATASCOPE WMS installations

  • At the bottom of the screen, you have multiple buttons:

    • Clear

    • Overrides

    • Reprint

    • Reset Allocation

    • Allocate (allocate to more than one TrackID)

    • Finalise (allocate to only one TrackID)

  • The Allocate button is typically used when you want to allocate the Quantity over more than one unique TrackID. If the Allocate button is selected, the TrackID Allocation window will open, and you can type the Per TrackID Qty in the TrackID field

  • Select TAB (to TAB off the field). You will now stand on the Number of Track IDs field

  • TAB again, the software will divide the total receipt Quantity by the per TrackID quantity and temporarily creates new TrackIDs in the data grid

  • Select Finalise

Note: The Qty per TrackID can still be edited before selecting Apply. You must however completely allocate out your full receipt Qty into TrackIDs before you will be allowed to Post

  • The Finalize button is directly used when you want to allocate the entire Quantity onto one TrackID. You then do not have to use the Allocate button, but can just select Finalize

  • When the Finalize button is clicked directly you will get a pop-up message confirming if you want to receive the stock on a single TrackID

Note: If you select Allocate first to allocate the jobs to multiple TrackIDs, before selecting the Finalize button, you will not see the pop-up message as the TrackIDs are already allocated.

  • You may get a second pop-up message, the same as previously, a warning message informing you that not all components have been allocated to the Job. This means that there are still outstanding materials to be assigned to the job. We’ve seen that there are still Kit Issued components that have not been issued when we did the SYSPRO Job Query

Note: The reason for the second message is to ensure that the user is fully aware that the job is not complete.

  • You will now be presented with a kit issue list of items that are still required to be issued. If your job does not have any outstanding kit issue items, you will not be presented with this pop-up

Note: A default FASTTRACK WMS setting allows a user to select which Kit Issued item must be issued out of inventory.

  • Kit Issue items that are highlighted in green, indicate that there is only one bin location from which to get the Kit Issued stock. Therefore, the system can only reduce inventory from that location

  • For the other stock codes that are not green, there are multiple TrackIDs and Bin locations from which we can kit issue the inventory

  • The user must work through each Kit Issue item and specify to DATASCOPE WMS from where to get the stock

  • Click on the Select Location link on the Kit Issue Allocation data grid. You will see the available TrackIDs for that stock code in the warehouse

  • Select which TrackID and Bin to kit issue the required stock from

  • Click Accept

  • Once a specific TrackID and Bin location has been selected for each Kit Issue item it will change to green on the Kit Issue Allocation screen

  • If you made a mistake, you could simply select the Clear Allocation link on the data grid and start again

  • Once all your Kit Issue items have been selected, select Post

  • The Kit issue post will be performed in both SYSPRO and DATASCOPE WMS and you will be required to select a printer to print your single or multiple TrackID labels

These TrackIDs will be known as Normal TrackID Types.

Note: A printer pop-up will ask where you want to print the new TrackID labels

  • When printing to a physical printer you must ensure that the System Settings is configured correctly

  • The JOBRECEIVING setting under Settings / Printers on the Ribbon Bar must point to the physical printer. For more information refer to Configure Printers

  • A Finalize Successful pop-up indicates the job receipt has been processed

  • The TrackID labels will be printed out and the items are now ready to be put away in the warehouse

If Quality Tests was created in the Quality Control module, and second printer pop-up will appear, printing a Quality Control Test Result sheet. For more information, refer to the Quality Control Module.

While it is possible to generate Job Receipts on the HTML 5 scanner, it does not account for Kit Issue items or Receipting Finished Products onto more than one TrackID per post. The scanner is designed for quick entry on the warehouse floor and stopping the user to edit Kit Issue quantities would interfere with its purpose. Let us review Job Receipt (HTML5)
