The module is used to identify any stock in SYSPRO, but not in DATASCOPE WMS, and to print new TrackID labels for the stock to be Put Away (using the Put Away module) in the warehouse.

It is typically used for the following:

  • to ensure all stock is labeled with DATASCOPE WMS labels before going live

  • to label customer-returned stock that has been returned using the RMA module in SYSPRO

You would typically process a Credit Note (for customer returns) within SYSPRO using their RMA (Return Merchandise Authorization) Module. However, once the stock is returned, inventory must be placed back within DATASCOPE WMS, and SYSPRO and DATASCOPE WMS must be balanced. This module will be used.

The RMA (within SYSPRO) for the current invoice was already created and a credit note was generated for the returned lines.

  • You can start by selecting the warehouse and the bin location that you returned the goods via the SYSPRO RMA Credit note.

Note: The warehouse and the bin location you have selected in SYSPRO, must already exist in DATASCOPE WMS as well. If a SYSPRO bin is entered that has not been created in DATASCOPE WMS, you will get an error message and you will have to create the Bin first, before you can continue.   • Select the Refresh button to refresh the data grid.

  • All stock codes that sit in the RETURNS bin in SYSPRO will display in the data grid.

  • The column Qty To Distribute contain the total quantity of the stock code in this (RETURNS) SYSPRO bin.

  • Various TrackIDs Types can be created:

    • Create a TrackID for the full Qty in the Bin

      • Select the check box in the Select column for the stock code you want to work with.

      • Once the Select check box is selected the Receipt Quantity field for that stock code becomes editable, and you can update the Quantity to the amount you want visible on the TrackID you will be creating.

      • To create a TrackID for the full Qty in the bin, you can right-click on the selected stock code. The following pop-up will appear.

      • Select Allocate selected lines to a new TrackID.

      • The software will then create a new TrackID.

      • The new TrackID will be created and visible in the right-hand of the TrackID Creation Advanced screen.

      • No TrackIDs have been printed.

    • Create a Multi stock code TrackID

      • To create a multiple stock code TrackID, you have the option to edit the QTYs for two lines and add both to one TrackID

      • Select both lines under the Select column.

      • Update the Receipt Quantity field for both selected lines.

      • Right-click on the lines and select Allocate selected lines to a new TrackID.

      • Both selected stock codes will then be added to one TrackID

    • Create a TrackID based on SYSPROs Pallet Quantity

      • Select the check box in the Select column for the stock code you want to work with.

      • The Receipt Quantity field will become editable, but you do not need to change this.

      • To create a TrackID based on SYSPROs Pallet Quantity field you can right-click on the selected stock code. (To generate a quantity of stock on a TrackID based on the SYSPROs Pallet Quantity field you must first view the Pallet Quantity configured for that specific stock code. This is stored against the stock code’s warehouse record in SYSPRO.)

      • Select Allocate Across TrackIDs from the pop-up

      • The software will divide the Receipt Quantity by SYSPROs Pallet Quantity and the remaining will be on their own TrackID.

      • The new TrackIDs will be created, but nothing will be printed.

    • Add Receipt Quantity on an existing TrackID

      • Select the check box, under the Select column, next to the lines where you want to add stock codes to existing TrackIDs.

      • Update the Receipt Quantity field if required.

      • Right-click on the lines and select Allocate To Existing TrackID

      • The Add Stock to Track ID screen will open.

      • Add that stock code on one of the existing TrackIDs (visible on the right-hand side of the TrackID Creation Advanced screen)

      • You can also update the Qty from here, before adding it to a TrackID

      • Notice that the TrackID selected, will be updated with the new stock code.

  • Once all the stock codes in the SYSPRO RETURNS bin have been allocated to TrackIDs you can start printing the TrackIDs. Review the right-hand side of the TrackID Creation Advanced screen - all TrackIDs ready to be printed will be visible.

  • Select the Print TrackID(s) button at the bottom of the TrackID Creation Advanced screen.

  • Tracking ID Labels will print for all the TrackIDs in the TrackIDs field, using the Label format (DATASCOPE_TRACKID_4X2.5) selected in the Label Format field at the top of the screen.

  • This process will put SYSPRO and DATASCOPE WMS back into balance in the RETURNS bin and these TrackIDs are now ready to be put away using the HTML5 scanners. For more information on Put Aways, refer to Put Away (HTML5)

SPECIAL FEATURES

  • Generating TrackIDs only adds stock to DATASCOPE WMS and NOT SYSPRO

  • This TrackIDs on the right-hand side can be sorted By TrackID or By Stock Code

  • The TrackID Creation Advanced screen also have a Select All and Deselect All that toggles the Select column

  • The data grid only displays SYSPRO stock and NOT DATASCOPE WMS stock

TECHNICAL

  • To add multiple stock codes to the same TrackID, we need to update a Warehouse setting for that specific Warehouse. On the Ribbon Bar go to Settings / Warehouse Settings and select the applicable Warehouse.

    • Select the Refresh icon to load the data grid.

    • Search, or use the Filter icon, for GENERAL in the SystemName column

    • Search, or use the Filter icon, for MULTIPLE_STOCK_ITEMS_ALLOWED in the SystemValue column.

    • This must be set to Y. If this remains N, and you try to add multiple stock codes to one TrackID then you get a pop-up stating The warehouse setting MULTIPLE_STOCK_ITEMS_ALLOWED is set to N, only 1 stock code is allowed on a TrackID

  • Ensure that the Printer Settings are pointing to a physical label printer to print these labels. To view or update this, go to Settings / Printers. Use the filter icon to locate the STOCK_TAKE_ON System Action. Ensure the printer Name points to a physical printer.

  • The default label templates (DATASCOPE_TRACKID_4X2.5 and DATASCOPE_TRACKID_MULTISKU_4X6) for the TrackIDs is configured under the System Settings. To view or update these, browse to System Settings on the Ribbon Bar.

    • From the Ribbon Bar, select Settings / System Settings. Open the System Settings screen and select the STOCK_TAKE_ON setting from the System Name drop-down.

    • The labels are configured in the following SettingNames:

      • LABEL_FORMAT1

      • LABEL_FORMAT_DEFAULT

SYSPRO REQUIREMENTS & Business objects used

  1. Credit note must be processed within the SYSPRO, RMA module, first.

  2. The warehouse and the bin location you have selected in SYSPRO, must already exist in DATASCOPE WMS

Important:  TrackIDs generated using the TrackID Creation screens (TrackID Creation & TrackID Creation Advanced) only add stock to WMS and NOT SYSPRO. Therefore, it will cause an imbalance on your Balance Report, as stock only gets generated in WMS, not SYSPRO. Consequently, it would be best if you only used this module before you Go Live with your system to label all your stock with WMS labels. If you want to add stock to SYSPRO while labeling the stock with a WMS label, you need to use the PO Receipt or Job Receipt modules.
