Cycle Count [STK054]

Cycle counting is a process of frequently counting pre-determined portions of the total inventory throughout the year. As this is one of the most vital tasks within a warehouse to ensure that bins and inventory are as accurate as possible, you need to ensure that cycle counting happens regularly.

Similar to doing a Stock Take, there are two components to a Cycle Count:

  1. Users will count and capture the quantities on the physical floor using the HTML5 scanner.

  2. The supervisor will review and accept or reject the actual adjustments on the PC-based screen.

Note: This screen has two Tabs, Schedule and Count. Only the Count Tab is discussed here.

  • Click on the Count Tab

  • Type or scan the Bin number in the Bin field. This is the Bin you want to Cycle Count

  • Select TAB

  • A pop-up will appear asking you whether you want to do a Full Bin Count

Note: If you select OK you must count every stock code and Lot that is physically in that bin. If you do not enter the physical count the system will post a zero count for anything you do not count and would therefore want to write off that stock. Although Full Bin Counts are best practice, note that cycle counting sometimes needs to happen on very large physical bins with many pallets and stock codes. In those instances, a Full Bin Count might not be practical.

If you select Cancel, the system will only post the quantity that you enter in the scanner and will ignore any items that you did not input a count value. If you want to count an item down to zero, you can enter a zero as the quantity and the system will write this down to a zero.

  • Select OK to do a Full Bin Count

  • Next, you must scan (or type in) the TrackID that is physically in the bin

  • Select TAB

  • If only one TrackID exists, the scanner will autoload the stock code and description

  • If more than one Stock Code exists, you will have to select one

  • Enter the quantity in the Quantity field after counting the physical stock in the TrackID.

Note: The calculator icon next to the Quantity field can be used if there are cartons containing set quantities per carton plus items not in a carton and you want to quickly calculate the total quantity.

  • Select a reason from the Reason drop-down.

  • Select the Post button

  • Once all stock codes on the TrackID are counted, a pop-up may appear asking if you want to move on to the next TrackID.

  • Select OK (if more items must be counted)

  • The count will be posted, and you can scan (or enter) the next TrackID in that Bin.

  • If any item that is counted is a Lot Traceable item, and there is only one lot number on the scanned TrackID, that Lot Number and its expiry date will also autoload along with the stock code and description.  If there are multiple lots on the scanned TrackID, you will be required to scan the Lot Number you are counting or select it from the drop-down.

  • Again, you can enter your quantity and select Post.

  • Continue counting all the physical TrackIDs in the current Bin by adding the quantities and posting it.

  • The user can select the End TrackID button to complete the current TrackID or select the End Bin button when done counting the entire Bin.

  • Exit the scanner-based screen once counting is completed

  • Reviewing and processing adjustments will be done on the PC-based screen, under Stock Take and Cycle Counting / Cycle Counting / Cycle Count Approval

SPECIAL FEATURES

  • The Reason drop-down is not available in FASTTRACK WMS. Reason Codes can be set up for cycle count posts in the DATASCOPE PREMIIUM version of the software.

TECHNICAL

  • To set up Reason Codes when using the DATASCOPE PREMIUM version of the software, you can browse to Stock Take and Cycle Counting / Cycle Counting / Cycle Count Reason Codes on the PC-screen.
