Quality Control / Quality Test [QUC020]

The Quality Control (QC) module is a DATASCOPE WMS module that Food, Chemical, and Pharmaceutical Distribution Centers typically use. All stock codes set as “Inspection Required” in SYSPRO can be controlled in this module, both during a Purchase Receipt and Job Receipt stages. Each stock code can be flagged with multiple quality tests. Expected results are entered, and tests pass or fail against these criteria.

This User Guide will focus on how to use the Quality Control module out of the box.

Quality test results will be created when inspectable Stock Codes are received via the Receipt Purchase Order or Job Receipt modules and tests have been set up correctly. The Quality Test module will check if there are any tests for those Stock Codes and create a Test Result record that has a unique Test Result Number. A Test Result sheet will also be printed to complete the test.

Prerequisites

To start using the Quality Control module, you should already have done the following:

  • Have a licensed version of the Quality Control module.

  • All tests should be set up and configured.

  • Stock Codes marked as Inspectable within SYSPRO.

Without the above in place, you cannot use the Quality Module successfully. For more information on activation and configuration, refer to Activate the Quality Control Module

Quality Tests

Quality test results will be created when inspectable Stock Codes are received via the Receipt Purchase Order or Job Receipt modules and tests have been set up correctly. The Quality Test module will check if there are any tests for those Stock Codes and create a Test Result record that has a unique Test Result Number. A Test Result sheet will also be printed to complete the test.

Receipt Purchase Order

  • From the Main Menu, browse to Inbound Receipt / Purchase Order Receipt / Receipt Purchase Order.

  • Enter a Purchase Order number in the Purchase Order field.

  • Enter the Received items and allocate them to the required pallets.

  • Once completed, select Finalise.

  • A Printer pop-up will appear to print the TrackID labels.

  • Quality Control module will check whether tests are created for the specific stock codes, and a Test Result record will be created, which will be visible on the Quality Test screen.

  • Once completed, a second Printer pop-up will appear.

  • A Quality Control Test Result sheet will automatically print for the TrackIDs just received.

  • The Test Result Number will be displayed on the Quality Control Test Results Sheet.

  • The next step will be to perform the quality test on the newly received TrackIDs. This is done on the Quality Test screen.

Job Receipt

Follow the steps to do a Job Receipt.

The Quality Control Module will check whether tests are created for the specific stock codes, a Test Result record will be created, and a Quality Control Test Result sheet will be printed.

Enter the results of the samples tests.

If a Test Result record has been created, the user must complete the test as per test steps configured, and the results of each of the samples must be entered into the Quality Test screen. Conformance tests being True or False, and entering the value for the Tolerance test.

  • From the Main Menu, browse to Quality Control / Quality Test

  • The Quality Test screen will open.

  • As DATASCOPE WMS automatically generates a Test Result number in the background, you can use the browser button from the Test Result Number field to search for the TrackID. Click on the lookup icon to locate the TrackID.

  • If you selected the lookup icon, the Product Inspection Lookup screen will open, and you can search for the applicable Purchase Order.

  • The Test Result Number is visible in the TestResult column, and the Purchase Order number in the SourceNumber column.

  • The option also exists to filter on the result sets where tests have already been completed. Select the Include Completed Tests tick box.

  • Select the applicable Test Result Number and click on the Select button in the bottom right-hand corner.

  • Once the Test Result Number has been added to the Quality Test screen, you can select TAB of the field to load the data grid.

  • The Source Type, Source Number, and Stock Code with Descriptions will load automatically.

  • The tests linked with the specific stock code will also display within the data grid.

  • This screen must be used to input the test results.

  • The Attachments, within the Attachments column, can be opened to find more instructions for the applicable test.

  • Conformance tests require the check box to be selected where the value is True (and unselected when False), and Tolerance tests require values to be inputted into the grid.

  • Notice that at the top of the screen, a list of all the Categories for the applicable tests is visible. The user can select the Category to work with, and the test linked to the chosen category will be displayed in the data grid. By default, all Categories are chosen; therefore, all tests will be displayed in the data grid. The Categories will remain in red text until all tests have been completed.

  • If tests have passed, then the Categories will turn green.

  • Once all the Sample results have been entered, select Post.

  • A validation will be performed on the entire test set, and either Pass or Fail will be displayed. The Test Categories that have been posted turn green.

  • The overall results of the test will be displayed. If your tests have failed, you will be notified.

  • If any tests were marked as Log and Fail when the tests were set in the Quality Test Setup screens, and the sample test fails, the entire test will fail.

  • If the tests were only marked as Log, it will pass when the tests pass or fail.

  • When you select OK on the Failed notification, a Test Result sheet will automatically print out with the results.

  • If the system passes TrackIDs that were received, it will be marked as ACTIVE within DATASCOPE WMS. However, if they fail, it will be marked as ONHOLD, or manual action later.
