This user guide focuses on the Sales Order Wave Release module, specifically on how to use its grouping functionality to optimize warehouse operations. The grouping feature allows users to release pick slips in batches tailored to different picking, packing, and shipping strategies. It is designed to offer flexibility in handling various warehouse scenarios, enabling users to group sales orders in ways that improve efficiency, reduce errors, and ensure timely deliveries. 

By mastering these grouping options, users can apply creative techniques to meet diverse operational needs and adapt to different warehouse configurations and workflows. This guide will cover common practices frequently used in warehouse operations, providing actionable insights for optimizing the release of pick slips within the Sales Order Wave Release module.

Sales Order Wave Release Module

Start by opening the Sales Order Wave Release module, which will show a number of Sales Orders for different customers and stock codes.

  • From the Main Menu, browse Order Release / Pick Slip Release / Sales Order Wave Release.

  • A parameter screen with various filter options will open.

  • To show several Sales Orders for different customers and stock codes, select the following filter options.

o   Use the Sales Order Creation Date Range filter and select a From date in the past.

o   Select OK to display the Sales Orders in the Sales Orders Wave Release data grid.

Grouping Option 1 – Group by MasterCustomer column

Scenario: If you have a large master customer, such as Walmart, which has subsidiary store accounts, one for each store, the master customer typically places orders for the various store accounts and requests that all the orders be delivered to a single Distribution Center. Each store’s pick slips will be picked and checked out individually, but all the individual stores’ Sales Orders will be placed under one MSN to dispatch in one delivery vehicle. This will allow the Dispatch staff to create a Shipping Waybill for the one MSN with all the orders for the individual stores.

For this scenario, one main master account, such as Walmart, will be created in SYSPRO, with various sub-accounts linked to the master account for each individual store. This will allow you to group by the master customer in DATASCOPE PREMIUM WMS and easily see any sub-accounts linked to the master account.

  • To group by the master account in the DATASCOPE PREMIUM WMS data grid, drag the MasterCustomer column header to the Drag a column header here to group by that column section of the data grid.

  • To view the sub-accounts, expand the rows by selecting the plus sign.

  • In our example below, Master Customer 00000000002 has three sub-accounts.

  • These sub-accounts also have various Sales Orders.

  • Right-click on the MasterCustomer level in the data grid to Auto Reserve that selected group. Select the Auto Reserve Group option.

  • A pop-up will appear stating that all Sales Orders in that group will be reserved.

  • Select Yes

  • A second pop-up will appear, stating that all current reservations will be cleared. Select Yes.

  • Auto reserving the stock will start.

  • The option to create a picking slip will exist immediately; select No on this screen. The reason why we select No, is because we want to release this group of orders under one MSN.

  • Right-click on the MasterCustomer level again, and select Release Orders in Group (MSN Grouped)

  • This option will generate multiple pick slips, but all are linked to one MSN, which can be picked separately for the different sub-accounts (or stores). However, all are shipped together under one MSN using the Shipping module.

  • A pop-up will appear again, asking whether a pick slip must be created for the selected group.

  • Select Yes.

  • Select a printer for the pick slips to be printed to.

  • Once all pick slips are printed, a pop-up will also list them.

Grouping Option 2 - Group by Customer column

Scenario: Another scenario can be grouped by customer. Typically, this grouping option will be used to release all outstanding orders for a single customer for a single shipment.

  • To group by the customer in the DATASCOPE PREMIUM WMS data grid, drag the Customer column header to the Drag a column header here to group by that column section of the data grid.

  • The data grid will now sort all Sales Orders per Customer together. This will assist you in reserving each customer’s orders one by one and releasing one MSN. Each group will ship each customer’s backorders together in one shipment.

  • Once all the Sales Orders have been reserved, right-click on the Customer level in the data grid and select Release Orders in Group (MSN Group).

  • Again, this will generate multiple pick slips or all the Sales Orders for the selected Customer. They will all be linked to one MSN and can be shipped together using the Shipping module.

Grouping Option 3 - Group by SYSPRO’s ShortName column

Scenario: Another scenario is to filter by SYSPRO’s ShortName field. This field can be used instead of the SYSPRO Master Customer/sub-accounts fields configuration, which groups customers into different delivery hubs. Some larger retail stores require vendors to consolidate different orders into larger shipments to various central Distribution Centers.

The SYSPRO ShortName field is configured in SYSPRO against the Customer Code under Accounts Receivable / Setup / Customers. This allows you to group your customers into different categories.

  • To group by the SYSPRO ShortName field in the DATASCOPE PREMIUM WMS data grid, drag the ShortName column header to the Drag a column header here to group by that column section of the data grid.

  • In this example, the Customers Bikes & Blades – East and Bikes & Blades – North can be consolidated to delivery hub BIK001 (ShortName), and Bikes & Blades – South to delivery hub BIK002.

  • Auto reservation can be made per delivery hub by right-clicking on the ShortName header and selecting Auto Reserve Group.

  • Again, do not create the picking slips, but rather right click again on the ShortName header and select Release Orders in Group (MSN Grouped)

Grouping Option 4 - Group by RouteCode column

  • If you plan your pick slip releases per SYSPRO’s Delivery Route, drag up the RouteCode column and release those in batches of Sales Orders depending on the Route.

  • Again, Auto Reserve the Group and Release Orders in Group (MSN Group)

Grouping Option 5 - Group by StockCode column

Scenario: If a stock code has multiple backorders across different Sales Orders and Customers and is newly received in the warehouse, you can efficiently fulfill the outstanding backorders. To do this, use the "Group by Stock Code" option and automatically reserve the stock to the corresponding backorders for each Sales Order. This ensures that all backorders for that specific stock code are fulfilled in an organized and timely manner.

  • To group by the StockCode field in the DATASCOPE PREMIUM WMS data grid, drag the StockCode column header to the Drag a column header here to group by that column section of the data grid.

  • Right-click on the StockCode header line and select Auto Reserve Group.

  • After the stock code has been reserved, right-click the StockCode header again and select Release Orders in Group (MSN Grouped).

  • Pick slips for these backorder Sales Orders can be released and fulfilled.

These are just a few examples of how the Sales Order Wave Release data grid can effectively manage your SYSPRO Sales Orders and optimize warehouse deliveries.
